1. CALL TO ORDER.
Chairman Sheriff Brown was absent and board member Chief Brandon Brown chaired the meeting. Chairman Brown called meeting to order at 12:00 p.m. Roll call of Board members by Chairman. Invocation given by David Brown. Pledge led by Chief Brown.
2. READING AND APPROVAL OF PRIOR MEETING MINUTES.
Motion by Jeff Carpenter, seconded by David Brown, and carried 4-0 to approve the minutes for the May 28, 2021 regular board meeting. Motion by Fred Tolar, seconded by Jeff Carpenter, and carried 4-0 to approve the minutes for the June 14 , 2021special call meeting.
3. TREASURER’S REPORT AND APPROVAL OF BILLS.
Glen McBride, 911 Director, gave the financial reports for June 30, 2021. Motion by David Brown, seconded by Fred Tolar, and carried 4-0 to approve the Treasurer’s report for June 30, 2021, and to approve the May and June, 2021
payments. The cash balance of the District on June 30, 2021 is $254,574.11 at Sabine State Bank, and the Certificate of Deposits were $448,447.27 at Peoples Bank of Chatham.
4. REPORT OF COMMITTEES.
No reports.
5. COMMENTS –PRESENTATIONS BY OTHER AGENCIES OR PUBLIC BODIES.
No reports.
6. UNFINISHED BUSINESS
A. Discuss install of new 911 equipment. Director discussed that the equipment would be installed based on timing of completion of new sheriff office building and latest estimate was building would be completed in August, 2021. Director passed out recap of expenditure so far for equipment, recorder, and radio tower and projection of remaining expenditure for 911 equipment. No public comment. No action by Board.
B. Discuss new 911 vehicle. Director discussed state contract quote of $32,740.33 for new 2021 truck from Courtesy Automotive. Director discussed that a confirmation letter needed to be sent to Courtesy Automotive. No public
comment. Motion by Jeff Carpenter, second by David Brown, and carried 4-0 authorizing Director to send confirmation letter.
C. Discuss surplus generator. Director discussed that high bidder on surplus generator had been contacted twice to arrange pickup of generator and bring payment. Director recommended that letter be sent stating if generator not
picked up in 14 work days, that high bid be revoked. Fred Tolar asked that letter be sent registered mail. No public comment. Motion by Chief Brown, seconded by Fred Tolar, and carried 4-0 directing Director to send letter.
7. NEW BUSINESS
A. Discuss 2020 auditor financial report. Alayna Huckaby from the Kenneth D. Folden, C.P.A. firm presented the Communication District review financial report for the year 2020. There were no audit findings in the report. Motion by David Brown, seconded by Jeff Carpenter, and carried 4-0 to accept the report
and to pay invoice for report.
8. OTHER BUSINESS.
A. Board member comments. There were no comments.

WARD 3 FIRE PROTECTION DISTRICT

The Ward 3 Fire Protection District met for its regular meeting Monday. August 2nd, 2021 @ 6 p.m. at the Chatham Fire Station Training Room.
The meeting was called to order by Freddy Tolar. Opening prayer was given by Margaret Waggoner.
The following members were present- Freddy Tolar, Wayne Whitman, James Mixon and Margaret Waggoner. Also attending was Ward 3 Fire Chief Danny Peel. We had one visitor, John Mize.
Time for public comments was open. There were no comments.
The minutes from the last regular meeting were presented and a motion was made to accept the minutes by Waggoner and 2nd by Whitman. All were in favor.
A motion was made by Whitman and 2nd by Waggoner to approve financial report as presented and approve checks and expenditures since last regular meeting. All were in favor.
Fire Chief Peel gave an incident summary.
Old business:
1-Updated on new storage building being delivered
2-Deed correction at Hog hair station is progressing
3-EMR refresher class is complete
New business:
1-A motion was made by Whitman and 2nd by Waggoner to provide $30 a month reimbursement on Fire Chief Peel’s phone for Fire Department use. All were in favor.
Being no further business, a motion was made by Mixon and 2nd by Waggoner to adjourn meeting. All were in favor. Our next regular meeting will be Monday, Oct. 4, 2021 @ 6 p.m. at Chatham Fire Station Training Room.
